The final number of participants, which is a guaranteed minimum, has to be communicated at the very latest three working days prior to the event.
Where an event booking is cancelled and communicated in writing to Espace Moselle at least thirty days before the planned date of the event the deposit will be fully reimbursed.
However should the cancellation occur less than 30 days prior to the planned date of the event, the following conditions will apply: :
- between 30 and 15 days prior to the event, 30% of the total contract amount will be payable to Espace Moselle.
- between 15 and 8 days prior to the event, 50% of the total price of the countract amount will have to be paid.
- less than eight days prior to the event, any cancellation would be disregarded and 100% of the bill should to be paid.
The total amount (100%) of the event invoice, which will be sent to you upon receipt of confirmation of the reservation on your behalf, is to be paid at least five working days before the first day of the event. Should other expenses be incurred by you during the event these will be invoiced to you after the event.
The invoice can be paid either in cash or by bank transfer.
All invoices remaining unpaid within the required time period (5 working days at the latest before the day of the event) will automatically incur ( i.e. without any further communication) a 15 % penalty on the total amount of the invoice, with a minimum of 150,00 €, including interest for late payment that will increase to 10.5% (the legal amount according to Belgian law).
The same conditions apply to any invoices sent after the event.
The event must proceed peacefully, under the customer’s responsibility. The customer will also be responsible for all damage that may occur during the event, be it in the hall or elsewhere in the Espace Moselle with respect to the Espace Moselle security instructions. As long as it appears to be a temporary or permanent obstacle for the execution of the present contract, all cause of circumstances outside of one’s control will put an end to the obligations of Espace Moselle and will relieve it from all responsibility and from all requests of compensation which could ensue.
Espace Moselle declines all responsibility in case of theft or other damage caused to the equipment and/or valuables left in the building or the parking.
The organiser and/or the participants are required to take out an appropriate insurance policy to cover the value of these goods. The client will avoid taking any legal action against Espace Moselle, and will guarantee that his insurers will do the same.
Additional services, including cloakroom service, parking costs, shows organised by the client or by Espace Moselle at his request (copyright at SABAM,…), possible advertising billposting (placards, posters, billboard,…) require the prior written agreement of Espace Moselle and are not included in this contract.
The organiser will be responsible for all deteriorations or loss of the requested equipment or of the equipment installed in the halls of the conferences for his group. The costs generated by the damage or losses will be placed solely under the client’s responsibility.
All disagreement must be put in writing to Espace Moselle within 5 days following the receipt of the invoice, in order to be duly considered by Espace Moselle.
In case of conflict, the law courts of Brussels will be the only competent ruling authority and the Belgian Law will be applied.
